Brokers can add placeholder accounts for Employees as well as create an account on behalf of the Employees. However, these two are NOT interchangeable. This article will help explain the difference.
Add Employee
This is a supplemental tool to use for a Client that is already in FormFire that you need to add new placeholder accounts for Employees rather than using the Preloader. A placeholder account is strictly for tracking purposes only. This will show you and the HR Manager the total number of Employees that are supposed to be in FormFire for your Client.
First, navigate to the Client Dashboard and choose Employee List from the orange context menu next to the Client's name.
Once you are on your Employee List page, select + Add Employees on the top right-hand side of your screen.
On the Load Census Data page, select up to 50 Employees at a time to add placeholder accounts for in FormFire.
You'll need to enter in the following information for each Employee:
- Correct last four digits of the SSN
- Last Name
- First Name
- Date of Birth (MM/DD/YYYY)
- Email Address (Optional)
Once completed, select Save Employees for the placeholder accounts to save to the Client.
Create Employee
Brokers have the availability to create accounts for Employees who don't have email addresses. Usernames and passwords will be randomly generated and hidden so no one can access the account aside from the Broker who created it.
From the Client Dashboard, choose Employee List from the orange context menu next to the Client's name.
On your Employee List page, select Create Employees on the top right-hand side of your screen.
Enter in the following information for the Employee:
- First Name
- Last Name
- Social Security Number
- Date of Birth (MM/DD/YYYY)
You'll be required to check that you understand that any changes will be logged, to continue. Select Save and Login as Employee to continue. From that point, you'll be working under the newly created account.
The Employee will be listed as Updating under Status on the Employee List page until you have completed the Employee in entering in his or her information.
